Project overview:

People navigating through the court systems, especially those who may not have knowledge about the inner workings of courts, go through a tremendous amount of documents and other materials during their process, have to keep track of many different kinds of important activities, create and keep up with evidence, and keep track of all of their meetings, witnesses, deadlines, etc. It is no wonder that many users feel overwhelmed; however, the purpose of creating MyCourtClerk was to eliminate that feeling of frustration and complexity by giving the user a simple-to-use and easy-to-navigate system for maintaining their court case information all in one place.

This project was developed to provide an up-to-date, fully digital method for allowing users the ability to create, upload, and keep track of court-related materials and case updates in a manner that provides complete control of ongoing legal proceedings. Users have the ability to upload evidence, log daily updates to their cases, have full custody calendar views, and create voice memos to themselves, document anyone associated with their case, upload all types of documents, create a to-do list of tasks related to their court cases, and maintain a journal of their activities during their legal process.

Building an intuitive, visually appealing interface that is easy to use was a key area of focus. Because many users are not technical, creating a user-friendly system was of utmost importance. The ability to quickly share documents and store data securely was also essential, while real-time updates required an effective design.

The Problem

Court case management requires a lot of moving parts and many of these parts are complicated to monitor manually. Users generally have issues with accessing evidence reliably, keeping their witness information organized, and tracking their documents in different formats and across multiple devices.

The project kick-off identified the following challenges:

  • Daily Notes and Journals: Another issue was providing users with a simple way of taking notes/journals/voice memos each day about their cases. For example, a lot of people use multiple apps or physical notebooks, making it challenging to use those notes when they need to refer back to them while testifying in court.
  • Real-Time Collaboration: Another important consideration was the need to provide real-time collaboration tools for users who may want to send documents or updates to their attorney, or have case workers or legal advisors send them information about their cases.
  • Data Management and Security: From a technology standpoint, the solution was to provide an intuitive interface that allows users to efficiently organize their files while ensuring that all data stored on the platform is secure and protected by the user.
  • UI/UX Design Challenges:One of the most significant obstacles was creating an organized, user interface (UI) / user experience (UX) with simplicity and standardization. The UI had to be designed in such a way that it could facilitate a user’s ability to navigate quickly through the cases, have clear labels for all functions, and easily categorize materials into case types.
The Solution

We built the MyCourtClerk application as a complete project that covers all aspects of court case management. The first step was to gather our project from beginning to end by defining the who, what, when, how, and why of MyCourtClerk. Through this process, we defined the full range of users of MyCourtClerk and the various workflows they participate in. We also determined what is required by law for each user and what obstacles they face when working through the courts.

We then took a user-centric UI/UX approach and designed a simple, clean, and professional user interface that allows users to upload evidence, take notes, record voice memos, and manage all of their case files. Overall, by utilizing ReactJS and NextJS, we have created an extremely fast, responsive, and seamless front-end experience. On the backend, we utilized NodeJS and MongoDB to ensure that user information is secure and that users benefit from the high performance of MyCourtClerk and the added benefit of its ability to scale over time.

Developed using multiple core modules that provide users with a single point of reference to track and manage the numerous elements of their case – i.e., witnesses, evidence, court documents, custody calendars, voice messages, to-do lists, journals, etc. Users can take advantage of intelligent reminders and automated notifications to help ensure they do not miss court dates or other important deadlines.

Ultimately, the final product is a fully integrated, highly efficient means of managing court cases, which alleviates many of the challenges associated with civil court management and provides users a system that is flexible, secure and comprehensive enough to meet all legal requirements.

The Result

The data collected by users in preparing their cases is now provided with clear structure and ease of use. MyCourtClerk was developed to assist users in establishing a single digital repository for all of their data (i.e., evidence, notes, documents, witnesses, reminder notices, and task lists) and reducing the stress of having to use multiple solutions and keeping track of data stored in different places.

As a result of its robust UI/UX, secure architecture, and highly effective organisation features MyCourtClerk has rapidly emerged as the preferred solution for those who want to gain complete control over their legal processes. Not only did this product enable clarity, structure and peace of mind to users, it also empowered them to navigate their Court Cases better than ever before.
