Project overview:

A comprehensive school management software system based out of Switzerland called Pupil aims to give all educational institutions more effective ways to manage their operations by improving efficiency and transparency, as well as digitizing many aspects of how schools operate. One of the primary purposes for creating Pupil is to establish one single platform that can support the totality of the many different aspects of running a school, such as administration, assessments, communication and support planning.

A system that has over 45 modules for modern schools offers an integrated solution that serves the entire school community. The modules allow principals, teachers, support staff, school boards, and parents to have access to a unified view of current students’ performance, eliminating duplicate data entry and making informed decisions easier.

Through resources such as PUPIL Webinars and PUPIL Academy (which offer educators continuous training and skills development), the PUPIL platform also provides opportunities for professional growth among educators. The PUPIL platform uses modern technologies such as ReactJS, NextJS, NodeJS and MongoDB to provide fast performance, rapidly scale to meet the evolving needs of schools, provide a secure solution and provide an excellent experience for users. PUPIL is built to be responsive and can accommodate any size school through effective use of a user interface and a robust backend.

The Problem

Before implementing PUPIL, schools in Switzerland faced several critical challenges:

The project kick-off identified the following challenges:

  • Operational Inefficiencies Many schools were utilizing isolated systems and utilizing many manual processes, with each department using different tools to manage their files causing data fragmentation and having inconsistency within departments. Communication and collaboration between departments was difficult because of all of the various locations of information.
  • Administrative Burden • Administrators used outdated systems or spreadsheets to track student records, attendance, schedules and reports. There were many time-consuming responsibilities for administrators when it came to tracking timetables and evaluating performance, leaving them open for errors. Time-sensitive decisions were hindered because of the lack of real-time information provided to administrators.
  • Limited Tools for Teachers • Teachers had little to no current tools to assist them in tracking assessments, progress and creating individualized support plans for each student. Communication with students and parents was inefficient and unstructured.
  • Challenges for Special Education Staff• Special Education Teachers lacked a single place to keep track of information about students’ Individual Support Plans (ISPs) or Intervention Records. In addition, it was difficult for these teams working together to support students’ needs to have good communication and collaboration among themselves.
The Solution

PUPIL is a complete end-to-end solution for managing all aspects of school operations using state-of-the-art technology and user-friendly design to solve these problems. PUPIL brings all of the school’s key players (school administrator, teacher, support staff, school board member, and parent) into one centralised platform with over 45 modules, each designed to help streamline every part of the day-to-day operation of a school, from managing records, attendance, schedules, and workflows to using the best practices for assessing student performance, providing parents with tools to assist in providing educational support to their children as well as to assist teachers and special educators in developing educational support plans for their students who may need additional assistance.

In addition, PUPIL provides an array of tools for teachers to track students’ academic progress and provides an after-school care platform that allows for better coordination of additional services provided to students who may require additional services in the form of after-school programming or childcare. Finally, PUPIL has a fully integrated parent/school communication system that keeps all stakeholders up to date on school events, announcements, and services.

The platform’s UI/UX design offers simple dashboards to create clear and straightforward access for seamless onboarding for all user types. As part of allowing for ongoing development and adoption of systems, PUPIL has also created resources, including PUPIL Webinars and PUPIL Academy, to provide continued guidance and training for educators. In addition, the platform has implemented various AI-based automations to reduce repetitive tasks and increase the efficiency of daily school operations.

The Result

PUPIL has changed the way Swiss Educational Institutions (Schools) are managed through the implementation of one simple and integrated digital school management platform. As a result of this centralised approach, the administrative workload of each school was significantly reduced, as schools benefited from increased transparency and collaborative opportunities amongst all staff, administrators and parents due to the ease with which data can be shared and collaborated on.

Additionally, a key feature of the PUPIL platform is that it eliminates the need for schools to maintain multiple data sets and duplicate information for their students, and provides a streamlined process for the tracking of student information. Schools can now use the PUPIL platform’s centralised system to make decisions based on accurate, up-to-date information about their student and generate reports related to their performance far more efficiently.
